2. Hosting and email
The website and business email are operated using services of HOSTINGER INTERNATIONAL LIMITED, 61 Lordou Vironos Street, 6023 Larnaca, Cyprus. Hostinger processes data for technical provision and, where applicable, as a processor. Cyprus is a member of the European Union. If Hostinger uses subprocessors outside the EEA, transfers are governed by the safeguards used by Hostinger.
3. Server logs
When the website is accessed, technical data such as IP address, date and time, requested resource, referrer, browser and operating-system information and status data may be processed for secure and stable operation and abuse prevention. The legal basis is Art. 6(1)(f) GDPR. Data is retained only as long as necessary for operation, security and troubleshooting.
4. Enquiry form
When you use the enquiry form, we process in particular company name, contact person, business email address, optional phone number and team size, number of templates, project details and your message. This is used to review your request, communicate with you, assess feasibility and, where appropriate, prepare an offer. The legal basis is Art. 6(1)(b) GDPR for pre-contractual measures and, where applicable, Art. 6(1)(f) GDPR for handling business enquiries.
5. Upload of profile templates
You may upload .doc or .docx profile templates for review. Please upload only empty or suitable templates and no CVs or unnecessary personal data relating to candidates or other third parties. Files are processed only in the technically necessary temporary upload area and then sent as attachments to our business email inbox. They are not intended to be stored permanently in the public website directory. The email and attachments may subsequently remain stored in the email system.
6. Email communication
When you contact us by email, we process the information you provide to handle your message and business communication. The legal basis is Art. 6(1)(b) GDPR where the communication relates to a contract or its initiation, otherwise Art. 6(1)(f) GDPR.
7. Retention
Data is deleted when it is no longer required for its purpose and no statutory retention obligations or legitimate interests apply. Enquiries that do not result in a contract are regularly reviewed after completion and are generally deleted within six months unless longer retention is required. Documents subject to commercial or tax retention rules are retained for the applicable statutory period.
8. Recipients
The principal recipient is Hostinger as hosting and email provider. Personal data is not sold or disclosed for unrelated advertising purposes.
9. Cookies, tracking and external content
The website uses no analytics or marketing services and loads no external web fonts. If a product demo video is provided, it is served directly from the website hosting and is not embedded from an external video platform. Technically required functions are used only to provide the website and enquiry form.
10. ProfileGen software and candidate data
The locally used ProfileGen software is technically separate from this website. Under the intended architecture, ProfileGen does not automatically transmit candidate data to servers of e-Mall 24 UG (haftungsbeschränkt) and does not operate a central ProfileGen candidate database. Files stored or generated locally remain within the customer’s own IT environment.
11. Optional external AI
ProfileGen may optionally be combined with a provided prompt and an external AI platform selected by the customer. The external AI service is not part of ProfileGen. ProfileGen does not automatically transmit candidate data to such a platform. If a user independently provides data to an external AI provider, processing is governed by that provider and the data-protection responsibility of the using organisation.
12. Your rights
Subject to the legal requirements, you may have rights of access, rectification, erasure, restriction, data portability and objection. Where processing is based on consent, consent may be withdrawn for the future. Contact info@profilegen.shop.
13. Supervisory authority
You may lodge a complaint with a data-protection authority. For the company’s registered location in Lower Saxony, the competent authority is in particular the State Commissioner for Data Protection of Lower Saxony, Prinzenstraße 5, 30159 Hannover, Germany.
14. Security
The website is delivered via encrypted HTTPS. Appropriate technical and organisational measures are used to protect personal data. Absolute security of internet transmissions cannot be guaranteed.
